Trinity Fork Spice Works ("we", "us", "our") operates the website at assets.roozspices.com. This policy explains what personal information we collect, why we collect it, how long we keep it and the choices you have. It applies to this website and to the business correspondence that follows from it. We are a business-to-business spice mill; we do not knowingly collect information from consumers under 16 and we do not sell personal information.

2. Information we collect

a. Information you give us

Quote requests: name, business name, email address, telephone number, business type, estimated volume and the product details you type into the form.
Correspondence: the content of emails, voicemails and letters you send us, including any attachments such as spec sheets.
Account and billing data: for customers who open an account — billing and delivery addresses, tax documentation, credit references and purchase history.

b. Information collected automatically

Server logs: our hosting provider records IP address, user agent, requested URL, referrer and timestamp for security and troubleshooting.
Cookies and similar technologies: described in our Cookie Policy. Optional analytics and advertising measurement cookies are set only after you consent through the banner.

The quote form on this site opens your own email application. We do not operate a database of website submissions; the information reaches us as an ordinary email.

3. Why we use it (and our legal basis)

To answer enquiries, prepare quotations and send samples — necessary to take steps at your request prior to entering a contract.
To fulfil orders, deliver goods, invoice and provide documentation — performance of a contract.
To keep records required by food-safety, tax and commercial law — legal obligation.
To secure the website, prevent fraud and measure whether our marketing reaches the right kind of business — our legitimate interests, balanced against your rights.

4. Advertising and measurement

We advertise our wholesale services on search engines, including Microsoft Advertising (Bing) and Google Ads. When you consent to optional cookies, those providers may set identifiers that let us see whether an advertisement led to a quote request. We do not upload customer lists for targeted advertising, and we do not use these tools to make automated decisions about you. Advertising partners act as independent controllers for the data they collect; their own privacy notices govern that processing.

5. Sharing

We share personal information only where necessary, and never in exchange for money:

Freight carriers and couriers, to deliver goods.
Payment processors and our bank, to take payment.
Our accountant, insurer and legal advisers, under professional confidentiality.
Website hosting, email and analytics providers acting on our instructions.
Government authorities, where required by law or a valid legal process.

6. Retention

Quote correspondence that does not become an order is deleted within 24 months. Customer transaction records are kept for seven years to satisfy tax and commercial recordkeeping requirements. Food-safety records, including lot traceability, are retained for the period required by applicable regulation. Server logs are retained for 30 days. Retained physical spice samples contain no personal data.

7. Security

The site is served exclusively over HTTPS. Business email and accounting systems require multi-factor authentication, access is limited to staff who need it, and paper records are held in a locked office. No system is perfect; if a breach affecting your information occurs, we will notify affected parties and the appropriate authorities as required by Texas law.

8. Your rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, correction of inaccuracies, deletion, a copy in a portable format, restriction of processing, or to object to processing based on legitimate interests. Texas residents may exercise rights under the Texas Data Privacy and Security Act; California residents may exercise rights under the CCPA/CPRA, including the right not to be discriminated against for exercising them. We do not sell or share personal information as those terms are defined in those laws.

We verify requests by confirming details already held in our records and respond within 45 days, extendable once where genuinely necessary. There is no charge unless a request is manifestly excessive. If you are unhappy with our response, you may lodge a complaint with the Texas Attorney General or your local supervisory authority.

9. International transfers

We are based in the United States and our data is processed here. If you contact us from outside the U.S., you understand that your information will be transferred to and processed in the United States.

10. Third-party links

This site links to an embedded map service and may link to supplier or certification bodies. We are not responsible for the privacy practices of those third parties; please review their notices.

11. Changes
